Hereford Racecourse is seeking to appoint a driven and flexible Events & Sales Executive to join its growing business at an exciting time in the Racecourse’s development. 

The successful candidate will support and deliver strategies that maximise sales across key income lines by being proactive and highly motivated with a positive, hands on attitude focussed on exceeding targets.  They will be commercially aware and active.       

Event Venue Hire (EVH) Sales / Non Racing Events

  • Increase all non-racing sales on site to include conferences and exhibitions, Weddings and outdoor events
  • Encourage and arrange show rounds for potential clients with a good site knowledge
  • Use raceday contacts and clients as leads for generating EVH bookings
  • Upsell sponsorship, advertising and ticket sales opportunities to EVH clients wherever possible 
  • Proactively increase awareness of Hereford Racecourse as a venue for EVH / non-racing activities
  • Ensure smooth running of events through accurate and realistic bookings, administration, follow ups, team communication and successful Event Management
  • Complete relevant paperwork to secure and deliver all bookings and follow up to ensure successful fulfilment for client
  • Liaise and build relationships with local, regional and national agencies to encourage business
  • Hospitality Sales

  • To ensure hospitality targets are met and surpassed by generating sales in private boxes and Rusty Bridge restaurant, working to planned budgets and strategies to deliver results  
  • Retain existing clients and maximise repeat and upgraded business ensuring they receive excellent customer service and raceday experience and that they are aware of all future opportunities
  • Upsell sponsorship and advertising opportunities to hospitality clients wherever possible 
  • Proactively upsell to all hospitality clients to the highest margin packages and maximise their numbers
  • Monitor trends in hospitality bookings – party size, menu choice, business type, business location – to help identify target markets and sector groups
  • Undertake competitor analysis (same and other sectors) compiling information on products and pricing strategies to ensure our packages and offerings are competitive
  • Complete relevant paperwork to secure and deliver all bookings and follow up to ensure successful fulfilment for client
  • Raceday Sales

  • Convert incoming enquiries into confirmed sales and demonstrate a proactive approach to selling (including cold calling) which includes preparing sales proposals to respond to leads with timely follow ups and use of appropriate sales techniques to close deals, recording and updating all leads
  • Utilise data available from CRM and Customer Profiling to effectively target customer groups with sales and make best use of data for sales campaigns including email, direct mail and social media  
  • Generate new business by networking, building relationships, cold calling, inviting prospects to race meetings, directly approaching potential customers and marketing initiatives
  • To drive sales of racecard advertising and distribute racecards on racedays
  • To develop relationships with business contracts and existing suppliers to maximise sales opportunities for events
  • Upon agreement of all sales activity send out contracts, ensure their swift return and that all bookings are paid for prior to the events taking place in line with company policy and procedures
  • Assist in analysing sales campaigns and initiatives to determine Return on Investment
  • Other

  • General office duties including answering incoming calls, dealing with enquiries (telephone and in person) and assisting other team members 
  • To ensure that all incoming enquiries are recorded, responded to and followed up in a timely and appropriate manner with details kept up-to-date
  • To assist the team in the administration and delivery of all activity
  • To carry out any other reasonable tasks that may be requested by the Executive Director 
  • Have a thorough knowledge of other parts of the business enabling a competent response to general enquiries
  • Develop an understanding of Health & Safety policies, particularly on racedays to include evacuation procedures and risk assessments
  • Due to the nature of our business you will be required to work early morning, late evening or at weekends and flexibility towards this is a prerequisite of this employment.
